Keep a Copy Before a Shared Room Expires
A practical checklist for downloading files, exporting notes, checking expiry, and closing a temporary handoff.

Temporary sharing is useful when the room is a bridge to the next step. It becomes risky when the room is the only place holding something you need later. Finish a handoff by putting durable information in a durable destination.
Check the deadline shown in the room
Standard Woff rooms expire after 48 hours without activity. A Pro pilot room, when available, has a fixed 7- or 30-day expiry. Activity does not extend a fixed deadline. Use the date displayed in the room rather than assuming every invitation lasts the same length of time.
Do not plan an important delivery around opening the room repeatedly to keep it alive. Choose a suitable retention option only when it is available, or use your permanent storage for information that must remain accessible.
Save files and review the result
Download each file you need. For a file batch, use its download-all action if available, then check that the archive opens and contains the expected filenames. Keep large source packages in the project folder where you normally archive them.
For images, keep both the original and any marked-up copy that explains the agreed change. A screenshot of the room is useful context, but it is not a substitute for the underlying source files.
Export the note in a useful format
Use a Markdown or plain-text export for an editable local copy. Use Print / PDF when you need a visual record, then review the browser’s preview for page breaks, images, and language rendering before saving.
Copy important room messages into your own notes or project record. Woff is not a permanent archive or a complete audit-history export.
Before closing the handoff

An invitation grants access to the room. A recovery key is for owner recovery and should not be sent as a recipient invitation. Where the owner can revoke a link, revocation prevents later access through that link; it cannot retrieve files or text already copied by a recipient.
Delete content you no longer need using the controls available to its owner. If the room has expired or content has been deleted, do not rely on recovery as a way to restore it.
If something is missing
Ask the sender for a new delivery from their own archive. For an upload or export problem while the room still exists, collect the visible error and browser details and use help or contact. Do not send recovery keys or secret invitation URLs in a support message.
